RULES

In addition to the basic criteria by which the programmes are judged, a number of rules are to be followed in submitting an entry for consideration:

A. Entry Document (Executive summary)

In the preliminary stage of judging the jury will only consider the programme summaries submitted.   So, great care must be taken in the preparation.

Its length is limited to twelve hundred words (1200). The minimum size of type that may be used is 12 point. It must be entirely in English.

Please provide fifteen (15) identical copies of the 1200 word entry document to facilitate the preliminary processing of the entry, and e-mail a copy to This e-mail address is being protected from spambots. You need JavaScript enabled to view it or send a CD ROM disk in Microsoft Word format with the entry form. Please provide your 1200 word document in Word format (photographs may be included in the body in the executive summary).  Please do not put these into a binder.

The 1200 word summary must start with an opening 100 word statement describing why the programme should be deemed worthy of an award. Under separate headlines, the summary should then address each of the five criteria as identified above:

- Statement of Problem/Opportunity

- Research

- Execution

- Planning

- Evaluation                           (See template)

 

 

B. Entry Form

·         Two completed copies of the entry form must accompany each entry.

·         NOTE: If paying by cheque, please enclose it in this same envelope.

·         The closing date for this entry is 26 January 2010.

·         If a consultancy is submitting an entry on behalf of a client, a letter of acknowledgement from the client must be submitted with the entry form.

 

 

C. Supporting Materials

Supporting material should be provided by the 8 February 2010 in a SEPARATE BINDER and delivered to the PRISA offices.

The supporting materials must arrive in a hardcover binder.

·     Lever arch file or similar no larger than 28 x 32 x 72 cm

·     All material must be affixed and fit comfortably in the binder. Loose or oversized items will be discarded and will not be included in the judging.

·     A label should be placed on the binder repeating the first three items of the entry form:

          -       category number

          -       name of campaign

          -       name of company/institution

·     No other words should appear on the cover.

·     Entries that do not arrive in a binder will be disqualified.

·     The entry text must be entirely in English. Media cuttings and related programme materials may be submitted in other languages.

·     Entries may include CD-Rom but judging will be based on the written word.

  • Supporting materials and photographs (dpi 300) must be included with the entry and they should fit into the ring binder.

 

  • Include a copy of your company logo in high-resolution jpeg format.


IMPORTANT

Photographs, company logos and other relevant information that could be included in an audiovisual presentation at the Awards event, to be provided on a CD-Rom.

·     Any audio or video cassettes submitted should be no more than 4 minutes duration.

  • Clients must be made aware in advance of any entries that refer to them and the judges will require, in a letter, evidence of client endorsement.

 

 

D. Entry Fees          

(Includes cost of the awards event for one person per entry)

Members of the PRCC:

    R1200 + VAT R168 = R1368          

Members of PRISA:                 

        R1800 +VAT R252 = R2052

 Non-members:            

         R2000 + VAT R280 = R2280

 Individual entries:                    

         R450 + VAT R63 = R513

 

Cheque or proof of payment to PRISA must accompany each entry

Multiple entries from the same organisation may be paid in a single transaction.  Please see the entry form.

 

E. Entries should be delivered on or before 26 January 2010 to:

  • PRISA cannot take responsibility for lost or damaged entries.

 

  • All submissions become the property of the PRCC, and may be used for publicity / education purposes. Entries may be used for editorial in Communika.

 

  •  Entries cannot be returned.

 

Confidential information included for the benefit of the judges should be clearly identified as such and will not be disclosed.

  • Any entries received after 26 January will be considered ineligible for the 2010 Awards and will not be judged.

 

  • PRISA will acknowledge, via e-mail, receipt of each entry.

 

  • Winners will not be disclosed until the PRISM Awards event on 31 March 2010.

 

 

The judging criteria are the same criteria used by the International Public Relations Association for its IPRA Golden World Awards.  This has been done to ensure that your entry is also eligible for the IPRA award (www.ipra.org).  The Public Relations Consultants’ Chapter of PRISA as part of the Overall Gold Award will fund the entry fee.

 

 

 

F. Awards

  • The overall winner(s) will be revealed only at the celebratory event.
  • PRISM trophies will be presented to Gold and Silver award winners at the Awards event.

 

 

G. The Overall Gold Award Winner receives:

·         Recognition at the Awards event.

 

·         Automatic entry into the world acclaimed IPRA Golden World Awards for excellence in public relations.

 

·         Case study published in Tony Koenderman’s Ad Review.

 

·         Case study feature in Communika.

 

·         Exposure on the PRISA website.

 

·         Exposure in the marketing media (BizCommunity and Publicity Update).
